How We Use The Cloud

We practise what we preach

At Online One we run our business using cloud computing applications: Google Apps, NetSuite and Adaptive Planning. We use Apple Mac Laptops and iPhones with the odd iPad thrown in for good measure, have three offices in Sydney, Melbourne and the Gold Coast but like most businesses have our share of working from home, on customer sites and while traveling in airplane lounges and hotels. We can easily collaborate with our colleagues, sharing documents and information wherever we are. And for business processes we can update an opportunity on the run, have accounting bill a client and answer customer service queries from within one browser. Using cloud computing software makes our business processes and communication easy. We get all the benefits of software that has been available to larger companies with a fraction of the cost.

What do we do?

Online One is a software company that provides cloud-based business solutions using software and services such as training, consulting and implementation. We design and build software on our chosen cloud platforms using NetSuite’s SuiteFlex and Google’s App Engine.

How do we use cloud computing?

We run our business using a number of metrics or KPIs around

  • Sales Pipeline. We actively enter and track all our leads into NetSuite’s CRM and use the sales force automation process to stay on top of each opportunity through to sales success.
  • Customer Service. Our customers can automatically log service issues with us. We then answer and respond in the best way possible to answer their queries
  • Projects and Time. All our people enter the time spent on projects or answering cases. This allows us to accurately bill customers and look at how our capacity is being utilised
  • Financial. At a management level we can easily track our debtors and creditors instantly, see how cash flow is looking and discuss our P&L on a daily basis.

    We don’t need to employ a full or part-time IT resource as everything we use is in the cloud. We don’t need to invest cash in getting assistance with IT and can get on with running our business knowing that all our systems will just work. All our cloud software has an up-time of over 99.95% and is available from whatever device we want to use. This reduces hassle and saves us money.
  • Easily scale our business
    We can add new employees into our systems very easily. Recently we had a new starting employee and within 10 minutes had them connected to NetSuite and Google Apps, using email, booking their time and collaborating with everyone in the company via shared documents and Instant Messenger inside Google Apps.
  • Information at our fingertips
    As a management team we can keep a tab on exactly what’s happening in the business. Viewing the latest leads, the sales pipeline and what the status of our customer service requests is very easy. Also each week we meet and discuss results, future cash flows, the status of projects all from within our cloud-based systems. Irrespective of where we are. It’s quite simple: we can access all of our business information wherever we are in the world. We can do this using multiple devices and get the answer to the question we’re asking instantly.
  • Automate our processes
    We recently implemented echoSign for the sales quote and sign-off process. This simple piece of cloud-based software improved the time it takes for us to issue a quote and have it returned accepted and signed by over 50%. We are continually using NetSuite to improve and automate processes so that we improve the productivity of our operations.
  • Collaborate & Communicate
    Because we all work in different places sharing information and staying in touch is something we continually need to do. Google Apps really helps us work on shared documents, use email and instant messenger to chat. A quick phone call via Google Apps is easy to do and you can get the answer you want quickly and effectively without reaching for a phone.
